School Courts, Classroom or HALL HIRE

RATIONALE
The Wanaka Primary School Board of Trustees maintains the courts, classrooms and hall primarily for the use of Wanaka Primary School students.  When the facilities are not required by students they may be available for hire to community groups. 

MANAGEMENT
The Board delegates the responsibility for administering these guidelines to the principal and the Board Facilities Co-ordinator.

GUIDELINES
  1. In January each year prospective facility users are invited to register a BOOKING REQUEST
    • An advertisement will feature in the Messenger, the first school newsletter for the year and on the school website
    • A letter will also be sent to all past users of the facilities
    • All booking requests must be in writing on the official booking form.
  2. The principal and Board Facilities Co-ordinator will consider all requests for use.
  3. When collating times the group will consider the following prioritising factors
    • Priority is given to Wanaka Primary School associated groups or local primary aged users groups
    • Link to Wanaka Primary School or educational activities
    • Historical precedent
    • Number of people involved
    • Impact on Wanaka Primary School – staff and organisation
    • Potential income generated for the school.
  4. Vacant slots will be filled on a first come first served basis.
  5. WPS reserves the right to requisition pre-booked slots on a casual or one off basis for events.  Groups that have their booked slot taken will be informed at least two weeks in advance
  6. The Board Facilities Co-ordinator will reply in writing to all groups who have submitted a booking form.
  7. All groups using the facilities are to leave them in a clean and tidy condition and ensure that all gates, windows and doors are locked. If additional cleaning is required to meet school standards then this cost will be passed onto the hirer.
  8. The key must be picked up from the school office on a school day by casual users and dropped off straight after use to the school office by 10am the following day. A key will be allotted for long term use to a regular use group.  All keys issued are to be signed for and signed off when they are returned.  If keys are not returned by the required time/day future hire may be restricted.
  9. The cost of facility hire is as per the Board’s official hire charges.
  10. The facilities may only be used for the purposes specified in the application.
  11. Staff offices and equipment rooms are out of bounds.
  12. Paraplegic facilities are for sole use by paraplegics.
  13. SMOKING is prohibited in the school grounds.
  14. The consumption and presence of alcohol is forbidden in the school boundaries   including the car park, unless a liquor licence has been organised and approved by the Board of Trustees.
  15. Any damage is to be reported to the Board Facilities Co-ordinator or school as soon as possible. All user groups are liable for any damage incurred during their hire time.  Failure to report damage will not exempt the hirer from responsibility.
  16. Where it can be established that a gate or room was not locked, then a suspension of hire may apply.  Repeated offending may result in a total ban.
  17. The Board of Trustees accepts no responsibility for injury or loss suffered by persons during the hire of facilities. First Aid is the responsibility of the hirer.
  18. The Board accepts no responsibility, legal or fiscal, for any loss, theft or damage to hirers property or third party damage caused by the hirer.
  19. The behaviour of spectators and visitors is the responsibility of the hirer.
  20. Hire will be at a flat hourly rate irrespective of the time of year or whether or not  heating is used.
  21. On completion of usage users are to lock all doors, turn off lights and heaters and leave the area clean.
  22. If the key is lost the hirer will be liable for the cost of a replacement key.
  23. The Board or Trustees reserves the right to restrict or exclude persons or organisations from access to or use of the facilities.
  24. Any bookings not used will be charged for unless prior notice has been given to the Board Facilities Co-ordinator in writing.
  25. The Board reserves the right to vary the conditions of use at its discretion

(Rates are per hour inclusive of GST.  Hall minimum rental 1 hour)

Notes:  Courts usage after 5pm or at weekends will not have toilet access unless a key is requested – an extra charge of $15 will apply.  Rates include power, insurance, cleaning and miscellaneous disbursements costs. The greater cost for the casual usage reflects the additional admin costs involved.
